Best AI Tools for Small Business in 2026: 6 Ranked by Score

The best AI tools for small business in 2026, ranked by score: ChatGPT, Gamma, Canva AI, Lindy, Tidio and Otter.ai, with real prices and honest weaknesses.

Our verdict

8.4/10

Start with one general assistant. ChatGPT scores 8.4 and its free plan now covers most day-one needs; the specialist tools (7.6 down to 6.9) earn a place only once a specific job, such as decks, social graphics, customer chat or meeting notes, is eating real hours.

The short answer: a small business should start with one general assistant and add a specialist only when a task keeps costing hours. For most teams the assistant is ChatGPT (8.4/10), which has a free plan and a $20 per user Business tier. After that, add Gamma (7.6) for presentations, Canva AI (7.3) for visuals, Lindy (7.1) for no-code automation, Tidio (7.0) for website chat, or Otter.ai (6.9) for meeting notes.

Quick picks

  • Best all-round assistant: ChatGPT, 8.4, free; Go $8/month, Plus $20/month, Business $20/user/month billed annually.
  • Best for decks and documents: Gamma, 7.6, free (400 one-time credits); Plus from $8/month billed annually.
  • Best for social and marketing visuals: Canva AI, 7.3, free; Pro $18/month ($144/year).
  • Best for no-code automation: Lindy, 7.1, no free plan; from $29.99/month.
  • Best for website chat and ecommerce support: Tidio, 7.0, free (50 conversations/month); Starter $29/month.
  • Best for meeting notes: Otter.ai, 6.9, free (300 minutes/month); Pro $8.33/month billed annually.

Small businesses have the opposite problem from enterprises: little time, no IT department and a card that gets charged every month. So we scored for ease of use and value alongside capability, using the same five criteria as the rest of the directory (see our methodology). We picked tools that a non-technical owner can set up in an afternoon and that have a usable free or low-cost entry point. Enterprise-only products such as Decagon (7.4) are left out because they have no self-serve price.

The ranking

  1. ChatGPT — 8.4. Best general assistant for writing, analysis and research.
  2. Gamma — 7.6. Best for turning a brief into a presentation, document or simple website.
  3. Canva AI — 7.3. Best for on-brand graphics without a designer.
  4. Lindy — 7.1. Best for no-code agents that handle email, CRM updates and calls.
  5. Tidio — 7.0. Best for live chat and an AI support agent on a small store or site.
  6. Otter.ai — 6.9. Best for automatic, searchable meeting notes.

1. ChatGPT: the tool to start with

ChatGPT has the highest capability and ease-of-use scores in this ranking (9/10 each). The free plan runs GPT-5.6 Luna with unlimited text chats and a Think button, a change we covered in OpenAI's free-tier update. Paid plans add the stronger Sol model, Deep Research for sourced reports, file and spreadsheet analysis, image generation and persistent memory. The Business plan ($20 per user per month on annual billing) adds a shared workspace, SSO, 60+ connectors including Slack and Google Drive, and training exclusion by default.

Watch out for: hallucinations remain a documented risk on every tier, so check figures, legal wording and anything customer-facing. Free and Go still show ads, and the unlimited allowance covers text chat only. Uploads and image generation stay capped. Our profile also notes user reports of shorter, more hedged answers during 2026. The Enterprise plan needs 150 seats, which is irrelevant to most small firms.

Skip it if: you already pay for Claude or Gemini and are happy with either. Switching for marginal gains isn't worth it. The chat category lists alternatives, including Claude (8.3) and Gemini (7.5), in /categories/chat.

2. Gamma: pitch decks and proposals in minutes

Gamma generates a presentation, document or simple site from a prompt in under a minute, and imports existing PDFs, PowerPoint or Word files. Its Gamma Agent lets you restyle or rewrite a deck in plain English. It has the best ease-of-use score here (9/10), and Plus at $8 per month on annual billing removes branding and unlocks PowerPoint and PDF export.

Watch out for: the free plan's 400 credits are one-time and never refresh, so it is a trial, not a plan. PowerPoint export flattens some dynamic layouts into images, and there is no native Google Drive, Docs or Sheets integration. Design control is limited.

Skip it if: you need pixel-precise brand templates or your clients insist on editable PowerPoint files.

3. Canva AI: visuals without a designer

Canva AI wraps image generation, Magic Write copy, Magic Resize, background removal and short video clips inside the editor most small teams already know, backed by a very large template library. Brand Kit keeps logos, colours and fonts consistent, and Pro lets you schedule social posts from the same screen.

Watch out for: Pro's AI allowance is one shared pool (about 2,000 Standard or 200 Premium uses a month), and Premium image and video generations drain it quickly. Image quality trails dedicated tools such as Midjourney for photorealism and text inside images. Pro's price has risen twice in under two years, and AI features are not available through an API.

Skip it if: you need photorealistic imagery or a developer-facing image API. See the design category for alternatives.

4. Lindy: automate the admin

Lindy builds agents from a plain-English description, with 3,000+ app integrations (Gmail, Slack, HubSpot, Notion and Salesforce among them), a phone agent and human escalation for edge cases. It suits a solo owner who wants inbox triage, lead follow-up or CRM updates without writing code. The Plus plan is $29.99 per month for 3,000 credits.

Watch out for: there is no permanent free plan, credits don't roll over, and voice calls cost extra ($0.19 per minute plus $10 a month per phone number, per our profile). Costs get unpredictable as usage grows, which we cover in our AI agent pricing guide. The company launched in 2023, so expect rough edges.

Skip it if: you already run workflows in a tool such as Zapier Agents (6.5), which connects to 7,000+ apps and has a free tier, or want free self-hosting with n8n (7.5). Compare them in the automation category.

5. Tidio: chat for small shops

Tidio combines live chat, a help desk and its Lyro AI agent, which is trained on your help-centre content. Shopify, WordPress, Wix and Squarespace installs take under an hour with the no-code wizard, and the free plan includes 50 conversations a month and up to 3 agents. Cart-abandonment triggers make it a natural fit for small online stores.

Watch out for: Lyro and Flows are paid add-ons, so the real bill is higher than the plan price. Pricing jumps from Growth (from $59/month) to Plus (from $300/month plus usage), and few native integrations exist beyond the main store platforms. There is no voice or co-browsing.

Skip it if: you run a Shopify store with heavy order and refund volume. Gorgias (7.1), from $10/month, writes to your store platform; see our customer support ranking for more.

6. Otter.ai: notes you don't have to take

Otter.ai joins Zoom, Google Meet and Teams calls, transcribes them, summarises decisions and action items, and lets you search your whole archive in chat. Free gives 300 minutes a month; Pro is $8.33 per month billed annually for 1,200 minutes.

Watch out for: accuracy drops with accents, cross-talk and noise, so transcripts need cleanup. Language support is narrow. Otter is also the subject of a consolidated US class action over recording participants who didn't consent, unresolved as of mid-2026 per our profile, so tell people the bot is in the call. Minute caps run out fast for heavy meeting schedules.

Skip it if: you mostly meet in person, or you hold sensitive client calls where a recording bot is unwelcome.

Which should you choose?

  • If you only add one tool, choose ChatGPT and learn it well first.
  • If you pitch or send proposals often, add Gamma.
  • If you post on social or print marketing materials, add Canva AI.
  • If admin eats your week, try Lindy, and watch the credit usage.
  • If customers message you on your site, try Tidio's free plan.
  • If your day is back-to-back calls, start with Otter.ai's free plan.
  • If you need sales prospecting or content ranking in search, see our sales and content rankings.

A good rule: pay for a second tool only after the first has saved you measurable hours. Most of these have free plans, and our marketing agents guide shows where to put a human check on anything customers will see.

Frequently asked questions

What is the best AI tool for a small business? ChatGPT has the highest score in our ranking (8.4) and a capable free plan. Add specialists such as Gamma or Tidio once a specific task justifies them.

Are there free AI tools for small business? Yes. ChatGPT, Gamma (400 one-time credits), Canva AI, Tidio (50 conversations a month) and Otter.ai (300 minutes a month) all have free plans. Lindy has no permanent free plan.

How much does an AI toolkit cost per month? A lean stack of ChatGPT Plus ($20), Canva Pro ($18) and Gamma Plus ($8 annual) comes to roughly $46 a month per person at list prices, before any Lindy credits or Tidio add-ons.

Do I need an AI agent, or is a chatbot enough? A chatbot such as ChatGPT covers drafting and analysis. You need an agent such as Lindy when work must happen across apps without you prompting it, for example updating a CRM after every email.

Is it safe to put customer data into these tools? Check each vendor's data terms first. ChatGPT Business excludes your data from training by default; free and individual plans differ. Avoid pasting sensitive customer information into any consumer-tier tool.

Prices and plan details come from our agent profiles, last reviewed October 2026; confirm on each vendor's site before buying.
